Nondiscrimination Policy

At GinkgoTree Healing & Education, we deeply value diversity and inclusion. We are committed to fostering an environment free from discrimination and harassment. We do not practice, tolerate, or condone discrimination based on a person's age, race, color, religion, sex/gender, national origin, sexual orientation, gender identity, disability, genetic information, veteran status, or any other basis prohibited by law.

Financial Policies

Service Fees: Clients are encouraged to always verify service fees before the start of any session.
Class Deposits: A non-refundable, but transferable, registration deposit is required to secure your spot in each class.
Accepted Payment Methods: We accept cash, local checks (from established clients), Venmo, PayPal, and some credit cards.
Check Policy:
- Post-dating checks is not permitted.
- Payments will not be held for a later date.
- Returned checks must be paid immediately in cash, plus any returned check fees charged by the bank.
- Clients who present checks with insufficient funds will be required to pay cash for all future services.
Insurance: We do not accept credit cards or traveler's checks, nor do we handle insurance claims.
Non-Payment: Clients will be dismissed for non-payment of incurred fees.

Scheduling & Cancellation Policy

We understand that unforeseen circumstances can arise. To respect the time of both clients and practitioners:

Missed Appointments/Late Cancellations: Clients and students who miss an appointment, regularly cancel with less than 48 hours' notice, or cancel more than two consecutive times without sufficient notice, may be billed for the entire service and required to pre-pay for future rescheduled appointments.
Late Arrival: Late arrival for a scheduled appointment incurs the full fee for that scheduled time slot. The service will be time-decreased to fit within the remaining scheduled appointment time.
Last-Minute Service Changes: Last-minute changes to a significantly lower-cost service may result in being charged the full amount of the service originally scheduled.

Appointment & Class Scheduling

To ensure a smooth and respectful experience for all, please review our scheduling and cancellation policies.

Appointment Basis: All client sessions are by appointment only. While not required, referrals from existing clients are appreciated.
Availability: Appointment availability varies. Walk-in appointments are not accepted.
Client Cancellations/Changes: We require a minimum of 48 hours' notice for any appointment cancellation or changes to your desired service(s). Failure to provide sufficient notice may result in a fee of up to 100% of the originally scheduled service amount, at our discretion.
Student Class Cancellations: Students must provide a minimum of one week's notice to cancel and transfer their registration deposit to another class. Your registration deposit can be applied toward another class within one year of the original class date.
Minors: Clients under the age of 18 receiving a service must always be accompanied by a parent or legal guardian. For the comfort and safety of all clients, no other children are permitted during treatment sessions.

Client Responsibilities

Your cooperation helps us maintain a safe, healthy, and respectful environment.

Personal Hygiene & Health: Please arrive hygienically prepared for your session. To protect the health of others, we kindly request that you reschedule your appointment if you are sick or have knowingly been in contact with contagious conditions.
Substance Use: Please abstain from alcohol and recreational drugs for at least 24 hours prior to your consultation. We reserve the right to refuse service to any individual appearing suspicious, under the influence of drugs or alcohol, or exhibiting signs or symptoms of an illness or disorder that may contraindicate the intended treatment.
Conduct: Any sexual advances, inappropriate sounds, comments, innuendos, or rude or violent behavior will result in the immediate dismissal of the client and will be reported to the appropriate legal authorities.

Confidentiality

Client Information: All information about our clients resulting from services provided is strictly confidential and will be held in the highest confidence.
Information Sharing: We will not share confidential client information for personal, monetary, or professional gain without the explicit written permission from our client.

Reporting Obligations

To ensure safety and comply with legal requirements, please be aware of the following reporting obligations:

Mandatory Reporting: I am legally obligated to report felonies, abuse, and threats of suicide, and to respond to subpoenas in accordance with Federal, State, and local laws.
Illegal Activity: If a client shares information about illegal activity, I will strongly urge them to report it to the authorities. I am also required to report this information to the authorities and will identify the client as the source.
Animal Abuse and Neglect: I have an ethical and professional duty to report any observed or disclosed abuse or neglect of animals to the proper authorities.

Client Records

Your privacy and the secure management of your information are important.

Required Forms: All clients must complete and sign all necessary forms before services can begin.
Record Content: I maintain minimal information in a Client Record, including your full name, address, email address, and normal and emergency contact information.
Access to Records: Upon your written request, I will share your Client Record with you.
Record Destruction: Client Records will be destroyed upon the death of a client. In the event of my death, all Client Records will also be destroyed.

Referrals

My practice focuses on specific healing modalities. If a client presents with a symptom or condition that falls outside the scope of my practice, I will refer them to an appropriate licensed and/or certified professional or to their primary care provider.
